Overview

The Office of the Controller of Examinations (COE) plays a pivotal role in maintaining the academic integrity and smooth conduct of all examinations in our autonomous institution. The COE office functions with utmost confidentiality and efficiency, supported by state-of-the-art infrastructure such as a Confidential Room, Strong Room, Dummy Numbering Section, Valuation Hall, and Examination Control Centre. The office is equipped with advanced COE management software to streamline all examination-related activities.

The COE Office is entrusted with planning and executing the entire examination process—right from preparing the academic schedule, conducting examinations, evaluation of answer scripts, declaration of results, to issuing grade sheets. End-semester examinations are conducted twice every academic year (in November/December and April/May), while Continuous Internal Assessments (CIA) are also organized periodically for all students.

OBJECTIVES

  • To ensure smooth and efficient conduct of all examinations.
  • To maintain strict confidentiality and integrity in all examination and evaluation processes.
  • To promote transparency in assessment through the use of modern technology.
  • To declare results promptly within the shortest possible time.

ROLES AND RESPONSIBILITIES OF THE COE OFFICE

  • Collection and maintenance of student biodata for examination purposes.
  • Mapping of electives and registration of students for each semester.
  • Preparation and scheduling of Continuous Internal Assessments (CIA) for all UG and PG programs.
  • Collection, printing, and secure distribution of question papers for CIA tests.
  • Preparation of exam timetables, hall allocation, and seating arrangements.
  • Coordination of practical examinations, including scheduling and appointment of external examiners.
  • Monitoring student attendance and maintaining records of debarred/withdrawn candidates.
  • Preparation of end-semester examination schedules and hall arrangements.
  • Appointment of invigilators, squad members, evaluators, and chief examiners.
  • Conducting centralized valuation and ensuring timely publication of results.
  • Organizing malpractice committee meetings and implementing necessary actions.
  • Facilitating revaluation, photocopy of answer scripts, and publishing of revaluation results.
  • Conducting supplementary/special examinations for eligible students.
  • Printing and issuing official documents such as:
    • Grade Sheets
    • Consolidated Grade Statements
    • Duplicate Certificates
    • Transcripts
    • Medium of Instruction Certificates
    • CGPA-to-Percentage Conversion Certificates
    • WES Verification Reports
  • Organizing the Graduation Day ceremony and coordinating the issue of degree certificates.
  • Supporting student background verification requests from companies and higher education institutions.
